Purchasing/Facilities Manager

Job Summary:

The Purchasing/Facilities Manager is responsible for sourcing equipment, good and services, and managing vendors.  The goal of this position is to reduce costs and improve effectiveness by managing the purchasing process.

 

Essential Duties:

  • Develop, lead and execute purchasing and contract management strategies with changing organizational needs and market conditions.
  • Identify and partner with the reliable vendors and suppliers to negotiate strategic deals with optimal terms.
  • Develop, negotiate and administer purchasing agreements and contracts with suppliers in support of organizational rerquirements.
  • Monitor supplier and vendor contracts to ensure compliance with legal requirements and organizational policies.
  • Arrange for disposal of surplus materials.
  • Prepare and process timely requirements and purchase orders for supplies and equipment.
  • Determine quantity and timing of deliveries.
  • Work with relevant departments to manage inventory requirements.
  • Produce regular reports on purchase commitments, costs and delivery performance
  • Preform cost and scenario analysis, and bench marking to reduce expenses, mitigate risks,and improve effectiveness.
  • Monitor and forecast upcoming levels of demand.
  • Participate in development of specifications for equipment, products or substitute materials 
  • All other duties as assigned
  • Manage and plan ad hoc maintenance and upkeep of the facility.
  • Maintain and monitor utilities and water efficiency records.
  • Support and develop energy conservation measures.
  • Negotiate all service contracts for the facilities ensuring that contract specification is achieved and that any errors or omissions are remedied quickly.
  • Monitor and address the appearance of the building and grounds, noting anything that may be detrimental to the desired appearance of “an attractive facility which is a pleasant to work.
  • Monitor quality of site and external contractors.  This includes cleaning service personnel.
  • Develop and manage a range of budgets related to site maintenance and development of facilities.
  • Support and manage building refurbishment, redevelopment and major works initiatives.
  • Negotiate all service contracts for the facilities ensuring that contract specification is achieved and that any errors or omissions are remedied quickly.

Required Qualifications

  • Previous experience as Purchasing Manager or equivalent
  • BS degree in Business Administration or equivalent
  • Understanding of market dynamics and business acumen
  • Advanced knowledge of Microsoft Office
