Warranty Manager


The Warranty Manager will be responsible for the processes that lead to successful auditing of repair orders throughout all maintenance facilities, and outsourced maintenance vendor partners for the purposes of identifying warrantable component failures and recovering maintenance costs.  Additionally, non-warrantable failures will be identified, analyzed and policy adjustments will be sought. Data collection regarding classification of reason for repairs will provide quality analytical information for budgeting unit life cycle costs, maintenance budgets, Return On Investment of purchased warranties.  The Warranty Manager will manage receivables related to warranty claims and direct the oversite, storage and disposal of warranted parts as direct by suppliers (Scrap Report Management).

Core Responsibilities and Accountabilities

  • Responsible for the Reason for Repair Auditing.
  • Creating internal warranty claim orders in internal systems / programs (i.e. TMT)
  • Cross referencing and coding VMRS Codes to proprietary Vendor Systems codes as needed
  • Auditing Downtime events for qualifying Downtime Policy
  • Creating Warranty Claims and Policy Request in Vendor systems
  • Tracking Claim status
  • Auditing and managing warranty receivables
  • Submitting escalated policy claims for rejected warranty
  • Providing maintenance supervisors / mechanics knowledge of best practices for proper documentation (“story writing”) and parts tagging, repair order section coding in order to maximize efficiencies and optimize warranty recovery
  • Effective disposal of warranty parts (Scrap Report Management)
  • Responsible for significantly contributing to the company’s optimal fleet management (low maintenance expenses & downtime, high fuel economy, and high driver satisfaction) and equipment specifications.
  • Manages and provides leadership to build and maintain a strong collaborative team effort through out the maintenance organization through effective communications, recruiting, training, coaching department peers. 
  • Directs the development and maintenance of standard operating procedures within Hirschbach’s maintenance facilities
  • When assigned assistants or subordinates, carries out supervisory responsibilities in accordance with the organization’s policies and applicable laws
  • Develops and implements organizational strategy to achieve operational and financial performance expectations. Works with VP of Maintenance in the development and implementation of annual maintenance budget.
  • Builds and develops business relationships with external vendor partners, OEM and component suppliers. 
  • Maintains compliance with vendor, OEM and component supplier warranty agreements associated with HML’s Customer Perform Warranty approval

Knowledge and Skills

  • Demonstrates strong leadership style and due diligence in conducting thorough and effective warranty opportunity auditing of repairs
  • Working knowledge of and experience managing repair order set up, coding, completing
  • Working knowledge of and experience managing vendor warranty systems, equipment systems and the servicing of trucks and refrigerated trailers
  • Ability to focus on tactical and operational efficiencies in processing claims.
  • Ability to communicate effectively at all levels of the company associated with maintenance expenses (shop, maintenance admin., parts department, operations, sr. management)
  • Strong written and oral communication skills.
  • Strong project management skills.
  • Strong collaborative problem solving skills
  • Proficient in Excel, Word, TMT, and ICC.

Experience / Education

  • Desired - Bachelor’s Degree in Business, Transportation, or a Technology/Maintenance related field of study
  • 5+ years of experience managing maintenance repair order processing, coding and overall understanding of equipment systems / subsystems
  •  Demonstrated diverse experience associated with mechanical work on various types of tractors/trailers
  • Must have a broad knowledge of VMRS Coding, the Complaint/ Cause / Correction documentation process associated with warranty administration
  • Must have excellent communication skills, and must be able to maintain and develop solid working relationships with internal and external suppliers/ partners
